Purchasing, stock by lot and traceability of fabrics and trims in Odoo

The needs of manufacturing orders and the replenishment rules generate the supplier orders. Each roll or lot received is identified, consumed by the order that reserves it and can be followed to the piece delivered.

The process, step by step

  1. Detect the needThe need comes from a confirmed manufacturing order, from an order with replenish on order or from a replenishment rule per article, with minimum and maximum. The replenishment menu lists what is missing.
  2. Order from the supplierA need with the Buy route creates a request for quotation to the supplier on the article or variant list, with minimum quantity and lead time. Lines for the same supplier are gathered in the same order.
  3. Order on a gridFor a trim or fabric with variants, the order uses the purchase size and colour grid, described on the articles and variants page.
  4. Receive and identifyThe receipt records, per line, the quantity in metres, kilos or units and the lot or serial number. A roll can be a lot, or a serial number if control is roll by roll.
  5. Describe the lotThe lot keeps the internal reference and the properties defined on the article, for instance the shade or the dye bath. Location and quantity come from stock by lot.
  6. Reserve and consumeThe manufacturing order reserves specific lots of the components and the manager can choose the lot of each. The lot consumed is recorded on the order.
  7. TraceFrom a fabric lot you see which orders and deliveries it was used in. From a finished product lot you see which component lots it consumed.

From need to lot delivered

What the user sees and does

Replenishment

The list of what is missing per article and variant, with the route and the supplier, and the button that launches the orders.

Receipt with lots

The receipt lines with the lot or serial number and the quantity, which the warehouse types in or reads with a scanner.

Lot form

Article, internal reference, properties, stock by location and buttons for moves and traceability.

Traceability report

The chain of documents of a lot, upward to the receipt and downward to the delivery.

The data handled

  • stock.warehouse.orderpoint with product_min_qty and product_max_qty: the replenishment rules.
  • product.supplierinfo with min_qty and delay: supplier, minimum quantity and lead time, per model or variant.
  • purchase.order and purchase.order.line: the order, with the variant grid.
  • stock.lot with ref and lot_properties: the lot, its internal reference and the properties defined on the article.
  • stock.move.line and stock.quant: the lot moved on each receipt, consumption and delivery, and stock by lot and location.

Limits and what does not exist yet

  • Odoo has no dedicated roll or dye bath field. The lot and its properties are used, which the company defines on the article.
  • Automatic replenishment requires rules per article, with minimum and maximum. What has no rule and no linked order does not generate an order.
  • Community has no master production schedule that aggregates the needs of all orders. Odoo’s master schedule is Enterprise.
  • Barcode reading at receipt and in inventory comes from the Enterprise module stock_barcode. Without it, the lot is typed in on screen.
  • The packing list per carton and sampling control on receipt of fabric are in development and not available yet.

Frequently asked questions

Is a fabric roll a lot or a serial number?

Either way. With lot tracking, several rolls from the same dye house share the lot. With serial number tracking, each roll is unique and controlled roll by roll.

How is the dye bath stored?

As a property of the lot, defined on the article, or in the lot’s internal reference. The bath then travels with the lot from receipt to the manufacturing order.

Can I tell which pieces delivered used a given fabric lot?

Yes. The traceability report follows the lot downstream: manufacturing orders, finished product lots and deliveries. And upstream from a piece delivered.

Do purchase orders go out on their own?

They are generated as requests for quotation, from the needs. The purchasing manager reviews and confirms; Odoo sends nothing to the supplier without that confirmation.

Does this require Odoo Enterprise?

No. Lots, replenishment and traceability are in Odoo Community. The barcode scanner and the master production schedule are Enterprise options.
